Create an email account in cPanel and add it to your phone

Set up an address like sales@yourdomain.in in cPanel, read it in webmail straight away, then connect it to your iPhone, Android phone, Outlook or Thunderbird using IMAP so every device stays in sync.

Before you start

  • Your cPanel login, from the welcome email or the client area.
  • Your domain pointing at VirtualCloud, with our MX record in place. If it isn't yet, follow Point your domain first.
  • A spare mailbox on your plan: Launch includes 5, Orbit 50, and Galaxy and Universe don't cap the number (fair use).

Step 1: Create the mailbox in cPanel

  1. Open Email Accounts

Log in to cPanel and go to EmailEmail Accounts, then click + Create.

  2. Choose the address and a password

Pick the domain if you have more than one, type the part before the @ in Username, and click Generate for a strong password. Copy it somewhere safe now; you'll need it on every device.

  3. Set a storage limit and create it

Give the mailbox a limit that fits how it's used: a few GB for a personal address, more for a shared inbox that keeps attachments. Mail counts towards your plan's NVMe storage, so a limit stops one busy inbox filling the whole account. Click Create.

Need bigger mailboxes, shared inboxes or archiving? Our Business email plans run separately from your website, store mail in India and start at ₹49 per mailbox a month + GST.

Step 2: The settings every mail app needs

Use IMAP: it keeps mail on the server, so your phone, laptop and webmail all show the same folders. POP3 downloads mail to one device and is only worth it if you deliberately want that.

POP3, if you need it, is port 995 with SSL/TLS. Never use port 25 for sending from a phone or computer: many internet providers block it.

Certificate warning on mail.yourdomain.in? The free certificate for the mail. name is issued once your domain points at us, usually within a few hours. Until then, use the server hostname shown under Email AccountsConnect Devices in place of mail.yourdomain.in; it already has a valid certificate.

Step 3: Open webmail or add the mailbox to a device

Choose where you'll read your mail. You can use all of them at once with the same password.

Webmail works in any browser with nothing to install, which makes it the quickest way to test a new mailbox.

  1. Go to the webmail address

Open https://yourdomain.in/webmail. You can also click Check Email next to the mailbox in cPanelEmail Accounts, which signs you in without the password.

  2. Sign in with the full address

Enter the full address, sales@yourdomain.in, and the mailbox password. Roundcube opens with your inbox.

  3. Send yourself a test

Send a message to a Gmail or other personal address and reply to it. If both arrive, the mailbox and DNS are working.

Step 4: Make sure your mail reaches the inbox

Gmail, Outlook.com and Yahoo check that mail from your domain is authorised. Open cPanelEmailEmail Deliverability: each domain should show Valid for DKIM and SPF. If not, click Repair when your DNS is with us, or copy the suggested records to your DNS provider. Then add a DMARC record; DNS records explained has copy-ready values.

Moving from another host? Create the same mailboxes here first, then switch the MX record; a DNS lookup for MX records shows when the change is live. Our free migration also copies your existing mail and folders.

Email account troubleshooting

I can receive mail but can't send it

Almost always the outgoing settings. Check that the SMTP server needs authentication with the same username and password, and that the port is 465 with SSL/TLS or 587 with STARTTLS. Port 25 is blocked by many Indian and international internet providers for home and mobile connections.

My phone says it "cannot verify server identity"

The certificate for mail.yourdomain.in hasn't been issued yet, usually because the domain has only just been pointed at us. Use the server hostname from Connect Devices for now, or run AutoSSL as described in Turn on free SSL. Don't accept an unverified certificate permanently.

The password is rejected

The username must be the full address, not just "sales". If you've forgotten the password, set a new one in cPanelEmail AccountsManage and update it on every device. Several wrong attempts in a row can block your IP for a short time; wait a few minutes before trying again.

Senders get a "mailbox full" bounce

The mailbox has reached its storage limit. Raise it under Email AccountsManage, or empty Trash and old folders with large attachments (if you delete something by mistake, you can restore a mailbox from backup). If the whole account is short of space, a bigger plan or a Business email mailbox may suit you better.

My messages land in the recipient's spam folder

Check SPF, DKIM and DMARC as in Step 4. Also avoid sending newsletters to large lists from a hosting mailbox: bulk mail affects your domain's reputation and the shared server's. Open a ticket with the full headers of a message that went to spam and we'll read them with you.
